The Short Answer: Who Should Use Which

If you are a Canadian freelancer, consultant, agency or trade that sells time and projects, FreshBooks is the better tool: the invoicing, estimates, time tracking and client portal are simply nicer to use, and its Plus plan ($42 a month CAD) now carries enough accounting (double-entry reports, bank reconciliation, free accountant access) for a CPA to prepare your year-end from it.

If you carry inventory, run payroll for a team, sell into more than one province, need budgets, classes or purchase orders, or your accountant already lives in QuickBooks, QuickBooks Online is the safer choice. It is the most widely used accounting platform in Canada, its sales-tax module prepares GST/HST, PST and QST returns, and its payroll files with the CRA and Revenu Québec from inside the ledger.

Price is close at the entry level and diverges fast above it. FreshBooks Lite is $26 and QuickBooks EasyStart is $30, but a business that needs the plan a CPA can actually work from is choosing between FreshBooks Plus at $42 and QuickBooks Plus at $110. FreshBooks

Lite, $26 a month. Up to 5 billable clients, unlimited invoices, estimates, expenses, time tracking and mileage, automated bank import, card and pre-authorised debit payments, and tax-time reports. No double-entry reports and no accountant access, which is why we do not put clients with a CPA on it.

Plus, $42 a month. Up to 50 billable clients, proposals, retainers and recurring billing, receipt scanning with data capture, double-entry reports, bank reconciliation and free accountant access. This is the plan most FreshBooks businesses should be on.

Premium, $72 a month. Unlimited billable clients, project profitability, accounts payable, bill capture with line items, and custom email templates. Select is custom-priced and adds two included team members, lower card fees and phone support.

QuickBooks Online

Lite, $20 a month. Intuit's plan for solo and freelance businesses: invoices and payments, sales tax, basic reports. It sits outside the main plan table and is the closest QuickBooks gets to FreshBooks Lite on price.

EasyStart, $30 a month. One user plus free accountant access, invoicing, bank feeds, receipt capture, mileage, sales tax and standard reports, plus Intuit's new AI categorisation and sales-tax checks.

Essentials. Three users, bill management and multi-currency. Intuit no longer shows it on the main Canadian plan table; it appears in the payroll bundles (Payroll Core with Essentials is $100 a month against $60 with EasyStart), so ask sales for the standalone price if it is the plan you want.

Plus, $110 a month. Five users, inventory, project profitability, multi-currency, budgets, and class and location tracking up to 40. This is where most product businesses and any company with a small team land.

Advanced, $220 a month. Twenty-five users, custom report builder, custom permissions, batch invoicing, workflow automation, revenue recognition, backup and restore, priority support.

Two QuickBooks details matter more than the sticker price. First, the promotion (90% off for 6 months at the time of writing) applies only if you click Buy Now; take the 30-day free trial and you pay full price afterwards. Second, accountant access is free on every plan, including EasyStart, where FreshBooks Lite gives none.

Invoicing, Estimates and Time Tracking

This is FreshBooks's home turf and it shows. Invoices look better out of the box, the editor is faster, estimates convert to invoices in a click, proposals and retainers (Plus and up) let an agency sell a scope and bill against it, automated reminders chase late payers, and the client portal lets customers view, comment on and pay invoices without an account. Time tracking is unlimited on every plan and tracked hours drop straight onto an invoice line. For a consultant who bills 40 hours a month across six clients, that workflow alone is worth the subscription.

QuickBooks Online invoices are perfectly good and improve every year: recurring invoices, estimates, progress invoicing, payment links, and a customer hub that now includes notes, lead management and e-signature on proposals (in beta). Time entry exists in the ledger, but billable time by employee with scheduling comes through QuickBooks Time or the Payroll Premium bundle, which is an extra cost FreshBooks users never pay. If invoicing is 80% of what you will do in the software, FreshBooks wins this section outright.

Accounting Depth: Where QuickBooks Pulls Ahead

QuickBooks Online is a full general ledger on every plan: double-entry by design, bank rules, journal entries, a chart of accounts you can restructure, reconciliation with a proper audit trail, and reports that scale from a standard profit and loss on EasyStart to a custom report builder on Advanced. Inventory, purchase orders, budgets, classes and locations arrive at Plus. There is nothing a small or mid-sized Canadian business needs at year-end that it cannot produce.

FreshBooks has closed a lot of the gap since it added double-entry accounting. On Plus you get a general ledger, trial balance, balance sheet, bank reconciliation and accountant access, which is enough for a service business with straightforward books. What it still lacks is the depth: no inventory, no purchase orders, no classes or locations, no custom reporting, and payables only on Premium. The moment a business needs to track cost of goods sold or run departmental reporting, it has outgrown FreshBooks.

A practical way to think about it: FreshBooks is accounting software built around the invoice, QuickBooks is accounting software built around the ledger. Pick by which of those two things your business is really about.

GST/HST, PST and QST

Both handle Canadian sales tax on invoices. You register your GST/HST number, set the rate for your province, add PST or QST where they apply, and every invoice carries the right tax. Both track tax paid on expenses so your input tax credits accumulate.

The difference is what happens at filing time. QuickBooks Online has a dedicated sales-tax centre that prepares the GST/HST return by line (sales, tax collected, input tax credits, net tax), handles PST and QST as separate agencies, and records the payment against the return when you remit. It is filing-ready in a way that reduces the CPA's time, and therefore your bill. FreshBooks gives you a Tax Summary report: tax collected and tax paid by rate, which is enough for a single-province service business but leaves the return itself to be assembled outside the software, and offers no place-of-supply logic for a consultant billing clients in three provinces.

If your GST/HST is simple (one province, mostly services, few input tax credits), this will not decide it. If you sell into several provinces, claim significant input tax credits, or file QST, it should. Our GST/HST filing guide covers what the return needs regardless of software.

Payroll and Getting Paid

Payroll. QuickBooks Payroll runs inside the ledger: Core is $5 per employee per month on top of a base (the EasyStart bundle is $60 a month before the per-employee fee), Premium is $8 per employee with faster direct deposit, time tracking and scheduling. It calculates CPP, EI and income tax, EFILEs and remits with the CRA and Revenu Québec, produces T4s and RL-1s, and handles records of employment. FreshBooks has no native Canadian payroll; it offers PaymentEvolution as an add-on, priced separately. For anything beyond one or two staff, QuickBooks is the cleaner setup, and if you are on FreshBooks with a team, Wagepoint is the Canadian payroll we would pair with it.

Payments. FreshBooks Payments (powered by Stripe) publishes its Canadian fees: 2.9% plus $0.30 on Visa, Mastercard and Discover, 3.5% plus $0.30 on American Express, 1% on pre-authorised debit, with foreign-currency, international-card and instant-payout surcharges on top. QuickBooks Payments states a 1% fee on bank payments up to $50,000 per transaction with card payments deposited the next business day; card percentages live in its fee schedule at signup rather than on the marketing page, so check them before you compare. Both let clients pay straight from the invoice, which is the feature that actually shortens the days-to-paid.

Users and Accountant Access: The Cost Nobody Prices In

FreshBooks charges $13 a month for every team member beyond the owner. A bookkeeper who works in the file is a seat; the accountant is free on Plus and Premium. QuickBooks includes 1, 5 or 25 users by plan, and the accountant is free on all of them.

Run the numbers for a business with an owner, an office manager and a bookkeeper. FreshBooks Plus is $42 plus two seats at $13, or $68 a month. QuickBooks Plus is $110 with five users included and inventory besides. QuickBooks EasyStart at $30 covers only one user, so the same trio on QuickBooks means Essentials or Plus. In practice FreshBooks stays cheaper up to about three people, then the seats and the missing features push you to QuickBooks or, for the same reasons, Xero, which includes unlimited users on every plan.

Who Should Choose FreshBooks

  • Freelancers, consultants and creatives who bill by the hour or by the project and want invoices out the same day the work is done.
  • Agencies and studios that sell scopes: proposals, retainers, recurring billing and project profitability are all built in by Premium.
  • Trades and field services that quote, invoice and collect from a phone, especially with one owner and a part-time bookkeeper.
  • Anyone who has abandoned accounting software before because it felt like accounting software. FreshBooks gets used, and books that get kept beat books that do not.

The honest ceiling: one province, no inventory, no more than two or three people in the file, and a CPA who is happy to work from Plus.

Who Should Choose QuickBooks Online

  • Product and e-commerce businesses with inventory, cost of goods sold and marketplace payouts; the app ecosystem (A2X, Dext, Shopify) is built around it.
  • Employers who want payroll, remittances and year-end slips in the same system as the books.
  • Multi-province and Quebec sellers who file GST/HST, PST and QST and want the returns prepared by line.
  • Businesses whose accountant is a QuickBooks shop. Most Canadian firms are, and a CPA working in their native tool is faster and cheaper.
  • Anyone planning to grow past five people in the next two years; the plan ladder is already there.

The Third Option Most People Forget

If you have read this far and neither fits cleanly, the answer is often Xero: unlimited users on every plan (Starter $25, Standard $60, Premium $80 CAD), a sales-tax module comparable to QuickBooks's, Hubdoc receipt capture included, and a cleaner reconciliation workflow than either. It loses to FreshBooks on invoicing polish and to QuickBooks on the number of Canadian accountants who know it.
