FreshBooks Canada Review (2026): pricing, GST/HST, and who it fits
FreshBooks is Toronto-built invoicing and accounting software for service businesses: the cleanest invoicing and time tracking in the category, GST, HST, PST and QST on every invoice, plans from $26 a month CAD, and a per-user model that decides whether it fits. This review prices it from FreshBooks's own Canadian pages and is honest about where a CPA reaches for Xero instead.

A bookkeeper, a partner and your CPA are three extra seats. Xero includes unlimited users on every plan.

Freelancers, consultants, agencies, trades and other service businesses that bill by the hour or by the project, work alone or with one helper, and care most about invoices going out fast and getting paid on time.
Businesses with a bookkeeper and a CPA sharing the file, inventory, payroll for more than a couple of people, or sales into several provinces where the tax reporting has to carry the GST/HST return.
FreshBooks is the best invoicing tool a solo Canadian service business can buy, and its accounting side is now real enough (double-entry reports, bank reconciliation and accountant access from Plus) that a CPA can prepare year-end from it. The per-user pricing and the lighter tax reporting are the two things that push growing businesses to Xero. Start on the plan your client count needs, take whatever promotion FreshBooks is running at checkout, and plan to reassess the day you hire.
Is FreshBooks worth it for a Canadian business?
Yes, if you sell time or projects and want to get paid faster. FreshBooks is built in Toronto, prices in CAD (Lite $26, Plus $42, Premium $72 per month), applies GST, HST, PST and QST on invoices out of the box, and has the cleanest invoicing and time tracking of any accounting software we have used. The catch is the model: every plan is one user, and each extra team member is $13 a month, so a business with a bookkeeper and a CPA on the file pays $26 more before it starts. That, and thinner tax reporting, is why our clients with staff, inventory or multi-province sales end up on Xero instead.
What FreshBooks does well, and where it stops
Feature by feature from FreshBooks's own Canadian plan pages as of September 2026, with the per-plan gates that decide the price.
Professional templates, estimates and proposals, recurring billing and client retainers on Plus and up, automated payment reminders, and a client portal where customers view and pay.
Unlimited time tracking on every plan; tracked hours convert to invoice lines in one click, which is why hourly consultants and agencies gravitate to it.
Get paid on the invoice itself, with instant payouts listed on the Lite plan and lower card fees reserved for the Select tier.
Unlimited expenses with automated bank import on every plan, receipt scanning with automatic data capture from Plus, bill capture with line items on Premium, and mobile mileage tracking.
Lite gives tax-time and business-health reports; Plus adds double-entry accounting reports, bank reconciliation and accountant access; Premium adds project profitability and accounts payable.
Built in Toronto, so GST, HST, PST and QST apply to invoices out of the box and a Tax Summary report shows tax collected and paid. Reporting depth is where Xero pulls ahead for multi-province sellers.
Every plan is one user; additional team members are $13 per user per month, and Select bundles two. Xero includes unlimited users, which decides the comparison for firms with a bookkeeper and a CPA.
Shopify, Stripe and PayPal for payments, PaymentEvolution for Canadian payroll, and more than 100 apps in its directory. Dext and A2X are not among them.
Where FreshBooks wins, and where a CPA reaches for Xero
FreshBooks vs Xero vs QuickBooks Online
Three Canadian-priced platforms, three different jobs. FreshBooks is invoicing-first, Xero is the CPA's ledger with unlimited users, QuickBooks is the market-share default. Figures from each vendor's Canadian pricing page, September 2026.
The full head-to-head, including the GST/HST reporting gap and the total cost with a bookkeeper and CPA on the file, is in Xero vs FreshBooks for Canada. For the wider field, see our accounting software comparison.
FreshBooks pricing in Canada (2026)
Four plans in CAD, one user each. The billable-client cap and the reporting depth are what move you up a tier; team members are $13 per user per month on top.
Up to 5 billable clients. The invoicing, time and expense engine, without the double-entry reports.
Up to 50 billable clients. The tier a CPA can work from at year-end.
Unlimited billable clients, plus the project and payables tools agencies ask for.
Note: Prices are in CAD before tax, as published at freshbooks.com/en-ca/pricing on 3 September 2026. Additional team members are $13 per user per month on every plan; Select (custom pricing) includes two, lower card fees, phone support and the Advanced Payments add-on that otherwise costs $25 per month. Canadian payroll is a PaymentEvolution add-on, priced separately. FreshBooks issues no coupon codes; any promotion it runs is applied automatically at checkout and dated on our deals page.
From signup to your first paid invoice
Lite covers 5 billable clients and has no double-entry reports. If a CPA will touch the file, start on Plus. Premium is for unlimited clients, project profitability and payables.
No code to enter. If FreshBooks is running a promotion, it is applied automatically when you subscribe at the end of the trial.
Add your GST/HST number and the rate for your province (plus PST or QST where they apply) before the first invoice, so every invoice and the Tax Summary report are right from day one.
Cards, Apple Pay, Google Pay and pre-authorised debit on every invoice. Fees are logged as expenses automatically, which saves a reconciliation headache later.
Automated bank import is on every plan. Put retainers and monthly clients on recurring invoices with reminders and let the tool chase.
Accountant access is free on Plus and Premium and does not count as a paid team member. Your bookkeeper, if you have one, does.
When a FreshBooks business should move to Xero
The moment you incorporate, hire, sell into several provinces, or hand the file to a bookkeeper and a CPA, the per-user seats and the tax reporting start costing more than the invoicing saves. Xero includes unlimited users and its partner offer is 80% off for 6 months through our link; our migration service moves the history across.
How we reviewed it
Every price, plan feature and fee on this page comes from FreshBooks's own Canadian sources, read on 2 and 3 September 2026: the Canadian pricing page, the payments and integrations pages, the CAD transaction-fee article in its help centre, and its company page. The judgement calls come from preparing year-ends for Canadian service businesses that run on FreshBooks, and from moving several of them to Xero when they hired, added a bookkeeper, or started selling into other provinces. Where FreshBooks changes a price or a plan gate, the deals page and this review are updated together, and the offer line here disappears on its own when a promotion ends.
