How do you reconcile Jane App with Xero or QuickBooks?

Jane has no direct integration with either, and its integrations FAQ says it has no open API. The reliable method is a monthly summary journal built from Jane's reports: sales on the invoice-date basis, payments by method into clearing accounts, Jane Payments fees, and the change in patient credits. The books then tie to Jane's A/R report, and each clearing account equals what is still in transit to the bank.

Why it's hard

Why Jane and your books rarely match

Three things in how Jane records money, all documented in Jane's own guides.

Four dates per transaction

Jane tracks a purchase date, an invoice date, a received date and an applied date. Each report uses a different one, so the Sales report and the Transactions report rarely agree for the same month.

Payouts arrive net of fees

Jane Payments deposits the net amount about two business days later, with weekend and holiday batches combined. The bank never shows the gross sales or the fees, so deposits cannot be booked as revenue.

Closed months can change

Editing an old invoice in Jane rewrites the month it belongs to unless a reconciliation date is set. Insurer short-pays, refunds and discounts then land in a month you already reported.

Sample month-end report

Every check passes before anything is posted

A test month for a fictional three-practitioner Ontario clinic: 372 invoices, 265 payments, insurer direct billing, Jane Payments, a gift card, a package, a refund and three edits to closed months. These are the tie-outs the pilot runs.

What gets posted

One summary journal a month

Totals by account, never patient by patient. Bank deposits come in through your bank feed with one bank rule per deposit type.

Sales and sales tax

Revenue by discipline or income category and GST/HST from Jane’s Sales report on the invoice-date basis, so reversals post in the month they happened.

Payments by method

Jane Payments, e-Transfers, insurer EFTs and cash go to clearing accounts. Tips go to tips payable for staff.

Jane Payments fees

Processing fees expensed from the Payments, Refunds and Fees report, so the clearing account equals the payouts still in transit.

Credits, gift cards and packages

Patient credits and unused gift card balances held as a liability. Unused package visits can be deferred if your accountant wants them deferred.

How the pilot works

About five minutes a month on your side

We run the close for pilot clinics while the self-serve version is built.

Step 01

Join the waitlist

Tell us about the clinic below. When pilot spots open in November, we send the account mapping questions and a short Jane checklist.

Step 02

Send the exports

Export about six Jane reports at month-end and upload them through a secure link. Never by email.

Step 03

We tie it out

Every check has to pass before anything is posted. Anything that does not tie comes back to you with the amount and the reason.

Step 04

One journal, posted

You get a Xero or QuickBooks journal and a month-end report your accountant can keep. Raw files are deleted once the month is posted.

Pilot spots for clinics and their accountants

Pilots start in November 2026. No cost during the pilot; we ask for honest feedback on what the month-end report gets right and wrong.

Not directly. Jane’s own guides show how to import invoices from the Sales report by hand, and its integrations FAQ says Jane has no open API and no plans for one. Any accounting connection therefore works from Jane’s report exports. The pilot turns those exports into one month-end journal that ties back to Jane.

About six: the Sales report on the invoice-date basis, the Transactions report, the Payments, Refunds and Fees report, the Jane Payments payouts, and the Accounts Receivable and Credit reports as of month-end. Exporting them takes a few minutes, and we send a checklist with the exact settings.

No. The journal posts totals by account: revenue by discipline, sales tax, payments by method, fees and the change in patient credits. Patient detail stays in Jane, which is also what Jane’s own accounting guide suggests.

Card payments go to a Jane Payments clearing account at the gross amount and the processing fees are expensed. Payouts reach the clearing account through your bank feed with one bank rule. At month-end the clearing balance has to equal the payouts Jane still shows as pending, or the month does not post.

With a reconciliation date set in Jane, an edit to an old invoice creates reversal lines dated the month of the change, and the journal picks them up there. Without one, Jane rewrites the closed month silently. Part of the pilot setup is turning that setting on, and the report flags months that changed.

Yes. Insurer invoices stay in accounts receivable until the insurer’s lump-sum EFT arrives, and short-pays written off in Jane flow through as reversals. The receivable in your books ties to the insurer balances on Jane’s A/R report.

Nothing during the pilot, which starts in November 2026. We run the month-end for pilot clinics while the self-serve version is built, and ask for honest feedback in return. Pricing for the finished product will be announced to pilot clinics first.

Through a secure upload link we send you, never by email. The files are used only to prepare your month-end and are deleted once the month is posted. Only the month-end report and the journal are kept.
