Quick Answer

Do you need QuickBooks or Xero if you use Jobber?

Yes, for most Canadian businesses. Jobber runs quotes, scheduling, invoices and payments; it does not reconcile your bank, track supplier bills, prepare the GST/HST return or produce year-end statements. QuickBooks Online or Xero does. Jobber syncs into both, one way, from its Connect plan; QuickBooks gets the deeper sync, including Jobber Payments payouts, fees and timesheets.

If you run your jobs in Jobber, you still need accounting software for most of what a Canadian business has to file. Jobber gets the work quoted, scheduled, invoiced and paid. QuickBooks Online or Xero turns those invoices and payments into books: bank reconciliation, supplier bills, the GST/HST return and year-end statements. Jobber syncs into both, but the two syncs are not equal, and the QuickBooks one now works differently for new connections.

Here is what each side does, what syncs, which one to pick, and how to set it up so your bank balance agrees with your books.

What does Jobber do, and what does your accounting software do?

So the answer to "do I need both?" is yes for any business that files GST/HST, has a bank account to reconcile or pays suppliers. A solo operator on Jobber Core with a handful of invoices a month can get by with a spreadsheet for a while, but Core has no accounting sync, so everything is typed twice.

How does Jobber sync with QuickBooks Online?

Jobber lists the QuickBooks Online sync from its Connect plan. First-time connections use Jobber's new QuickBooks integration, which works like this:

  • One way, automatic. Clients, products and services, invoices and payments flow from Jobber into QuickBooks as they happen. Paid status no longer flows back from QuickBooks to Jobber.
  • A one-time import to start. After connecting, you can import your active clients and products and services from QuickBooks into Jobber once.
  • Jobber Payments payouts and fees. Payments, refunds, tips, and payouts with their fees can sync, mapped to accounts you choose during setup. Client payments sit in Undeposited Funds until the payout that includes them.
  • Timesheets. Approved timesheets can sync for payroll, but only with QuickBooks Payroll enabled and employee names matching exactly in both systems.
  • Older items. Past invoices, payments, payouts and timesheets can be backdated into QuickBooks from a date you choose.
  • Jobber is the source of truth. Edit clients and products in Jobber; deleting a phone number or address in Jobber does not remove it in QuickBooks.

Accounts connected before the change may still run the legacy integration, a two-way sync you trigger by hand. Moving to the new integration is one way: you cannot go back.

How does Jobber sync with Xero?

Jobber's Xero integration is listed on the Connect and Grow plans and is available in Canada. It is also one way, from Jobber into Xero:

  • What syncs: clients, products and services, and invoices including their payments, as they are created or updated in Jobber.
  • No head start: there is no initial import and no backdating; the sync runs from the day you connect.
  • Payments: map them to a Xero account with payments enabled. Tips paid through Jobber Payments and overpayments do not sync and need to be recorded by hand.
  • Edge cases: invoices with a negative total or negative lines do not sync, product names over 50 characters are trimmed, and two clients with the same name become "John Doe" and "John Doe 2".

Jobber's Xero help article does not list Jobber Payments payouts, fees or timesheets among the items that sync.

Should a Jobber user pick QuickBooks Online or Xero?

QuickBooks Online is a good fit if you take most payments through Jobber Payments, because the payouts and fees reconcile through the integration instead of by hand, or if you want approved timesheets to reach QuickBooks Payroll. It is also the easier start: your existing clients come across in one import. Get 80% off QuickBooks Online for 8 months as a new customer; QuickBooks Payroll is not part of the discount.

Xero is worth a look if your bookkeeper or accountant already works in Xero, or you are moving an existing Xero file to Jobber. Plan on a monthly step to record Jobber Payments payouts, fees and any tips. Get 80% off Xero for 6 months through our link.

If you have not picked a job app yet and your books are already in Xero, Tradify syncs with Xero and QuickBooks Online on every plan, Lite included; our contractor software guide compares the two job apps trade by trade.

How do you set it up so the books reconcile?

Most reconciliation problems with a job app start in the first month. Seven steps avoid them:

  1. Set up the accounting file first: chart of accounts, GST/HST registration and tax rates, and the bank feed.
  2. Match the tax rates in Jobber to the GST, HST, PST or QST you charge, so each invoice reaches the books with the right tax. Our GST/HST rate guide lists them by province.
  3. Edit clients, products and invoices in Jobber, never in the accounting software. Both syncs treat Jobber as the source of truth and can overwrite changes made on the other side.
  4. Use a clearing account for Jobber Payments. Deposits arrive net of fees, but invoices sync at their full amount. In QuickBooks, map payouts and fees during setup. In Xero, map payments to an account with payments enabled, then record each payout to the bank and its fees from the Jobber Payments statement, so the clearing balance returns to zero.
  5. Record tips and overpayments by hand in Xero.
  6. Keep supplier bills in the accounting software, through its own bill capture or an app like Dext or Hubdoc, so input tax credits are claimed from the actual bills.
  7. Start on a clean date, such as the first of a month. Xero cannot backdate the sync, so anything invoiced before that date is entered the old way.

What do Jobber and accounting software cost together?

For one person, the sync starts on Jobber Connect at US$99 a month billed annually, about CA$139 at 1.40, or US$139 month to month; a crew of 2 to 5 pays US$149 a month on Connect. Add the accounting subscription, discounted for the first months through our links: see the QuickBooks deal page and the Xero deal page for current prices. Jobber usually takes 20% off the first 3 months of a monthly plan when you sign up and skip the trial; every Jobber price is in our Jobber pricing guide.

Frequently Asked Questions

Does Jobber replace QuickBooks or Xero?

No. Jobber runs quotes, scheduling, invoices and client payments. It does not reconcile your bank account, track supplier bills as payables, prepare your GST/HST return or produce year-end statements. Most Canadian businesses on Jobber keep QuickBooks Online or Xero for the books and sync Jobber into it.

Does Jobber sync two ways with QuickBooks Online?

Not on new connections. Jobber's new QuickBooks Online integration, which first-time connections use, syncs one way, from Jobber into QuickBooks, automatically. Paid status no longer flows back to Jobber. Accounts still on the legacy integration had a manual two-way sync; moving to the new one cannot be undone.

Which Jobber plan includes the QuickBooks or Xero sync?

Jobber lists the QuickBooks Online sync from its Connect plan, US$99 a month for one person billed annually. Its Xero integration is listed on the Connect and Grow plans. Core, the US$29 plan, has no accounting sync.

Do Jobber Payments fees sync to my accounting software?

To QuickBooks Online, yes: the integration can sync Jobber Payments payouts and fees, with accounts mapped during setup. Jobber's Xero help article lists clients, products and services, and invoices with payments, but not payouts or fees, so Xero users record each payout and its fees from the Jobber Payments statement.

Should a Jobber user pick QuickBooks Online or Xero?

QuickBooks Online gets the deeper Jobber sync: a one-time import of your clients, backdated syncs, Jobber Payments payouts and fees, and approved timesheets. Xero works well if your bookkeeper already uses it and you are fine recording Jobber Payments deposits by hand. Both have partner offers through our links.

How do I record Jobber Payments deposits in Xero?

Jobber Payments deposits arrive net of processing fees, while the Xero sync records each client payment in full. Map payments to an account with payments enabled that you use as a clearing account, then record each payout to the bank and its fees from the Jobber Payments statement. The clearing balance should return to zero after each payout.
